Position Title:

Accounts Receivable Associate
Central Business Office
Saint Joseph Abbey and Seminary College

Overview:

We are seeking an entry level Accounts Receivable Associate to work in our Central Business Office. The Accounts Receivable Associate is responsible for generating various invoices, and recording revenue by crediting proper general ledger accounts for all receipts received. Strong computer skills, ability to shift easily from one task to another, and good customer service skills. This position reports directly to the Chief Financial Officer (CFO).

Core Responsibilities:

  • Work with various departments that receive and turn in money

  • Assist students, faculty, staff and members of the community with questions

  • Daily mail pick-up for the CBO and distribute accordingly

  • Producing invoices for various dioceses, departments, vendors and organizations

  • Communicating with dioceses and seminarians regarding tuition, fees, and balances due

  • Process receivables daily by reviewing all receipts for accuracy and entering all monies received to the proper general ledger

  • Maintain and reconcile petty cash

  • Weekly bank visits for cash deposits

  • Reconcile credit card payment batches to the receipts received weekly

  • Enter weekly online donations

  • Participate in weekly Business Office meetings

  • Journal entries for internal sales between apostolates (departments), PayPal and others as needed

  • Post all payments for student accounts in Academic Software

  • Responsible for maintaining and processing monthly cemetery ACH payments

  • Monthly reports due to the CFO

  • Reconcile general ledger and assist with the audit

  • Answer telephone questions

Qualifications:

2 - 5 years of proven accounts receivable with basic knowledge of accounting best practices and processes, Ability to shift gears easily and be trustworthy. Ability to learn quickly and be efficient. Working knowledge of Microsoft Excel and general knowledge of accounting software. A minimum of a high school diploma, good transportation and clean driving record. Must be well spoken, polite and professional.

Working conditions / Safety hazards:

This position is primarily Monday-Friday from 8:00am to 4:00pm. However, there may be times when this position requires evening or hours on the weekends.

This is a hands-on position, and the Accounts Receivable Associate may be asked to perform job-related tasks not listed in this job description.

Position Title:

Coordinator of Special Events and Alumni Affairs
Department of Institutional Advancement (DIA)
Saint Joseph Abbey and Seminary College (SJASC)

Overview:

The Coordinator of Special Events and Alumni Affairs reports directly to the Chief Advancement Officer, DIA, SJASC. The coordinator is primarily responsible for management of all special events, and alumni affairs in coordination with the Chief Advancement Officer (CAO) and the rest of the DIA team.

Core Responsibilities:

  • Coordination of DIA Events in collaboration with the DIA Team

  • Identify, cultivate, secure and steward Corporate and local business sponsorships.

  • Coordinate Alumni Affairs, including administrating and coordinating all activities related to the Alumni Association, as well as participating in and supporting the DIA

  • Chief Advancement Officer and the Alumni Association secure donations, build relationships, and provide administrative support for any Alumni fundraising campaign.

  • Maintain strict internal and external confidentiality and professionalism regarding alumni, volunteer and donor records, as well as alumni, volunteer and donor information and privileged information of any type or source.

  • Collaborate with and support the DIA team in intra-departmental and extra-departmental activities and needs.

  • Execute job duties in a professional and cohesive manner with all apostolates and departments throughout SJASC.

Position Duties:

  • Complete all the work necessary from start to finish of the event

  • Obtain and coordinate Deo Gratias event sponsorships, auction donations, and sales for every aspect of the event. Coordinate the online platform for the Deo Gratias auction, and ensure program meets contractual terms with vendor, as applicable

  • Manage any event or function where guests are invited to SJASC, such as, but not limited to, Volunteer Appreciation Luncheon, Joie de Vivre Louisiana Arts & Culture Festival, Saint Joseph Seminary College Graduation, Saint Joseph College Family Day for Seminarians, Saint Joseph Altar, Saint Benedict Society, Dinner with the Abbot, and Lunch with the President – Rector, and the like

  • Manage additional SJASC fundraising events such as, but not limited to, Homecoming Day, Abbey Open Golf Tournament and securing sponsorships and donations. This position is responsible for any new events or the revitalization of such events, like Monk Run, if deemed appropriate by leadership

  • Coordinate donor tours and other scheduled donor visits of SJASC, to promote cultivation and stewardship of donors, including Alumni

  • Manage and coordinate logistics for outside entities who are interested in using/renting our facilities and/or holding mission appropriate events on the SJASC campus

  • Maintain and keep current the Alumni Council and Alumni Association contact list including graduates and individuals who attended Saint Joseph Seminary College, but didn’t graduate

  • Provide a quarterly report on Alumni status (deceased or moved), activities (like participation in DEO and Alumni Day), donation contributions, contact information, and additional information as determined appropriate by the CAO. Provide an annual report on alumni volunteer hours

  • Support the Alumni Council Executive Committee, including administrative activities, preparation for and administering quarterly and annual meetings, and manage and maintain Alumni Council and Alumni Association corporate records and other official documents, such as meeting minutes

  • Coordinate Alumni Association activities, including special events, regional meetings, meet and greets, outreach, and other like activities

  • Provide administrative support to the CAO and the Alumni Association in the raising of funds, including individual gifts, campaigns, and implementation of donor outreach strategies

  • Collaborate with the CAO, and the DIA Database Coordinator and Donor Services position, on CRM management of Alumni list, researching and identifying Alumni, managing Alumni donor information and tracking fundraising progress

  • Understanding of the Saint Joseph Seminary College structures, mission statements, accreditation, and unique needs of alumni

  • Strong interpersonal skills, an ability to connect with alumni, and build rapport with fostering long-term relationships

Qualifications:

Demonstrated excellence in event planning, attention to detail, ability to multi-task and effectively manage multiple competing priorities, obtaining corporate sponsorships, and relationship building with external stakeholders and partners. Proficiency in software programs and platforms. Ability to be a self-starter and work independently performing indoor and outdoor work. Ability to lift-up to 50 lbs.

Education:

B.A. or equivalent training and experience

Working Conditions / Safety Hazards:

General office working conditions but requires mobility around the campus. This is a full-time position working 40 hours a week Monday through Friday between 8:00am and 4:00 pm. Some events will require additional hours, weekend or evening work.
